Summary
This proposal aims to improve workflow efficiency and patient safety in a pediatric clinic while reducing nursing stress through a positive, incentive-based scheduling initiative. Currently, patients frequently arrive outside their scheduled appointment times, creating workflow disruptions. These interruptions force nurses and staff to divide their attention between current and upcoming patients, increasing workload demands and psychological stress (Liu et al., 2026).
To implement this program, approval will first be obtained from leadership, and criteria for on-time arrivals will be established. After three consecutive on-time visits, both the patient and the parent will be given a prize to encourage and reward their punctuality. Incentives will include small “treasure chest” prizes for younger children and modest gift cards for older children and parents. Staff will participate in an education session outlining program goals and implementation procedures.
A six-month pilot program will take place using pre-existing electronic check-in timestamps within the system. Front desk staff will track punctuality and distribute incentives, while nurses promote the initiative to patients during regular visits. Additionally, staff will complete pre- and post-implementation surveys assessing stress levels, workflow disruptions, and overall job satisfaction. The goal is to achieve a 20% increase in on-time arrivals and a 15% decrease in reported workflow disruptions. Achieving minimum stress levels for the team reduces rushed clinical decision making, communication breakdowns, and time pressure which all compromise quality of care. This low-cost, sustainable model supports improved care delivery, enhanced patient safety, and a healthier work environment for nursing staff.
